Why December parties need a transport plan
Christmas parties are high-risk evenings for employers: alcohol, tired teams, unreliable apps, and cold weather at 1 a.m. in Shoreditch or the City. A named chauffeur plan is duty-of-care, not extravagance.
Book early — the last two Fridays before Christmas and the week between Christmas and New Year sell out S-Class and V-Class capacity across London.
Staggered vs convoy
For 20–80 people, split into timed pickups from the office and two or three vehicle waves rather than one overloaded minibus. Executives may need a separate discreet car while wider teams share V-Class runs.
Share a guest list with postcodes (or nearest Tube) and latest leave time. Dispatch can then quote fixed packages instead of open-ended hourly burn.
Venues and curfew reality
Many London venues finish music at midnight but clear rooms slowly. Build 45–60 minutes of chauffeur waiting into the plan — it is cheaper than rebooking at peak demand.
If your venue is west (Mayfair ballrooms) but staff live east or in Home Counties, route batches by direction to avoid everyone waiting for the last cross-town drop.
What to put in the brief
Company billing entity, PO, primary EA mobile, venue address, and a single on-site contact for the driver. For mixed-gender groups, confirm child-seat or accessibility needs in advance — not at kerbside.
